FECS
An established travel and event management company with over 30 years’ combined experience in organising group travel and corporate events for high-value clients. FECS specialises in integrating travel logistics into corporate and social event frameworks.

3. Scope of the Partnership

FECS proposes to act as the exclusive logistics and travel partner for planning overseas incentive events.

Under this arrangement, FECS will design, manage, and deliver complete international event packages for groups of up to 30 attendees, enabling your organisation a premium, relationship-focused team building experiences abroad.

4. Services Provided by FECS

FECS shall provide subject to budget a comprehensive, fully managed itinerary, including (but not limited to):

Pre-Departure & Travel

  • Return flights from a UK airport (late departures where feasible)
  • Meet and greet services at destination
  • All ground transportation, including coach transfers

Accommodation & Arrival

  • Minimum 4-star hotel accommodation
  • Expedited group check-in facilities
  • Light refreshments and designated waiting areas upon arrival

Event Programme

Day 2 (Core Team Building Day):

  • Breakfast included
  • Dedicated networking and registration space
  • Opening address and programme briefing
  • Guided city tour
  • Lunch provision
  • Scheduled free time
  • Team-building activities
  • Evening dining experience (including ½ bottle of wine per attendee)
  • Full transport coordination throughout

Day 3:

  • Breakfast
  • Airport transfers

Accommodation arrangements may include shared occupancy options (same-sex basis) to optimise cost efficiency, at the attendee’s discretion.

5. Roles and Responsibilities

FECS Responsibilities:

  • Full design and delivery of travel and event logistics
  • Supplier management and booking confirmations
  • Issuance of pro forma invoices
  • Collection and handling of passport information for travel compliance

Your Organsation Responsibilities:

  • Marketing and promotion of travel based event via its notice board or established channels
  • Direct engagement with and onboarding of attendees
  • Financial responsibility that covers the whole event
  • Settlement of FECS invoices in accordance with agreed terms

7. Payment Terms

  • FECS will issue a pro forma invoice for each event
  • Your organisation shall remit full payment no later than four (4) weeks prior to the event date
  • Upon receipt of cleared funds, FECS will confirm all bookings

This payment structure reflects standard industry practice for group travel and corporate event management.
